    Implementation Project Manager / Partnership Manager / Head of Client Services

    • managing local BPO implementation projects for recognized multinational accounts with employee counts of up to 3,000, over 70 • managing the Russian-based segment of global payroll implementation projects with a top global payroll provider for recognized multinational accounts with employee counts of up to 500, 8 implementations • managing internal system projects (CRM implementation based on 1C8.2 CRM, ESS capability) • managing ad-hoc client projects (retirement of a legacy system and migration of the legacy payroll data to iScala; development of an automated interface between the client’s SAP HCM and the provider’s Boss-Kadrovik) • leading and coordinating project activities of cross-functional teams up to 10 people, including software development members, general IT members, service delivery representatives, etc. • project durations from 1 month to 1 year Project initiation, preparation and discovery • understanding and formulating business value, business objectives and deliverables and success factors of the project with the clients and the global partner • gathering input data for the PSQ process and completing the PSQ process with the global partner team • capturing the existing business processes and defining new business processes as part of the new payroll model; • completing the fit/gap analysis; arranging solutions for gaps, identifying, planning and implementing required business process changes • clarifying and formalizing the solution scope and the project scope; resolving issues relating to the scope of work, deliverables, constraints and assumptions • identifying and pursuing opportunities for increasing business value to be achieved by the client through the project • actively participating in negotiating, preparing and checking contracts with the global partner, clients and subcontractors Project planning • finalizing and baselining the statements of work, the SLA parameters and the project scope • producing work breakdown structures for the payroll implementation • identifying and negotiating allocation of adequate project resources to meet the project objectives and deliverables with functional managers; communicating a clear vision of the project's objectives to the project team • producing implementation schedules for the payroll implementation • reconciling the global payroll project requirements as they pertain to scope and schedule and the local requirements and constraints • arranging communication plans • producing and managing RAID logs • identifying and agreeing on the key payroll implementation milestones • participating in global kick-off meetings with the global partner team and global client stakeholders; holding local kick-off meetings with local client representatives and the project team Design and configuration • completing and managing blueprints based on the global partner’s templates (roles & responsibilities, compliance checklists, payroll calendars, etc.) • preparing and providing master data for the setup and implementation using the global partner’s standard templates for migration into the global payroll system • preparing and providing payroll data for the setup and implementation using the global partner’s standard templates for migration into the global payroll system • developing and adapting payments and deductions forms based on the global partner and client templates • arranging interfaces for master data migration from the client databases to the global payroll system where appropriate • reconciling local and global pay codes for processing payrolls in the global payroll system and reporting purposes • standardizing and unifying the pay element structure for the payroll process following the implementation and going live • completing and providing the global partner templates with pay code data (zero-to-gross) for pay code setup in the global payroll system • arranging access to the global payroll system and training for users; helping users with completing required actions in the global payroll system • defining and agreeing on the international payroll workflow as the basis for the new payroll process • arranging sign-off of all key blueprints required for proceeding to the testing and parallels Implementation • leading and coordinating work of a cross-functional team utilizing a combination of formal authority, referent and expert, including impacting the activities of team members outside own reporting structure • facilitating execution of the project work by the project team in accordance with the approved scope, budget and schedule; helping the project team promptly resolve issues • managing setup of the key global partner interface reports (G2Ns and Payment Files) • making sure payroll registers and reports to be provided as part of the payroll process meet the local and global requirements • managing setup of payment interfaces for the transfer of salaries and payroll taxes • managing setup of GL-related interfaces • verifying completeness and correctness of setup data entered into the global payroll system • ensuring together with the global partner that all key interfaces with the global payroll system are working correctly • stimulating the team to adhere to and use project management practices effectively • building relationships with project stakeholders, both internal and external, and keeping stakeholders informed, in a timely manner and at an adequate level of detail, of progress, status, forecasts and issues in order to manage expectations on project requirements and deliverables • maintaining customer satisfaction by promptly resolving issues • continuous interaction with the project management team and stakeholders to ensure timely and complete provision of input data impacting the execution of the project; timely communication and escalation of issues where appropriate • holding regular project meetings to discuss progress, status and forecasts with the project team, the global partner team and the client • negotiating consensus amongst diverse stakeholders from different disciplines with varying degrees of technical and subject matter experience on the project team, the global partner team and the client team • tracking the progress of an implementation to meet deliverables, the project scope, budget and schedule requirements and the system go-live date • verifying the input data; verifying and testing the implementation work output • managing deadline pressure, ambiguity and change by working closely with the team, the global partner team and the client team • identifying, managing and communicating/escalating issues to the client, the global partner team and the internal project team and suggesting solutions and workarounds • reporting the implementation’s progress, status and forecasts to the client, the global partner team and the business • identifying changes in project and solution scope, assessing impact on the key project constraints and ensuring appropriate measures are taken with internal and external stakeholders to reassess and amend the scope, the budget and/or schedule via the formal change control process • monitoring the project work for potential issues and problems, planning contingency actions and initiating mitigating and preventing action Testing, parallels and stabilization • managing payroll teams and the end-to-end payroll process during the testing and stabilization phase • testing the payroll calendar, the IPW process and the blueprints • managing the input data submission process for the parallels following the agreed-on cutoffs and using the agreed on templates and interfaces; verifying the completeness and accuracy of the input data provided • checking provided payroll results, uploading payroll results to the global payroll system; generating standard reports from the global payroll system and completing the sign off as part of the international payroll workflow • auditing the provided payroll results, completing the root-cause analysis and managing the rectification process • managing reconciliation of the payroll results produced from the client’s live system and global payroll system after parallels • testing the bank solution process and conducting penny tests to make sure that the payment process is working appropriately • conducting GL testing • producing test payslip files for ESS testing • ensuring parallels are properly signed off Operational readiness, going live and project closure • making sure any/all issues discovered in the course of the parallels are effectively and timely closed • arranging the operational the operational team and the client team are ready to go live • completing the Go/No Go checklist together with the global partner and the client teams during a Go/No Go meeting • synchronizing the switch from the legacy payroll system to the global payroll system • ensuring input data are submitted for processing by agreed-off cutoff dates following the formal Go-Live decision • making sure the processes defined in the activated blueprints (roles and responsibilities, payroll calendar, compliance checklist) are strictly following during the IPW process • checking provided payroll results, uploading payroll results to the global payroll system; generating standard reports from global payroll system and completing the sign off as part of the international payroll workflow process • arranging the lessons learned process, completing instructions and manuals for the operational teams • performing operational team training to effectively use the global payroll system and the new payroll process • managing the implementation-to-operations handover process after the implementation and stabilization are complete • gaining acceptance and sign-off by all parties when the project closure is attained
