    Обязанности и достижения:

    1. Office operation: - Control over office rent issues (rent contracts, technical maintenance, payments, parking). Ensure life activity of the office (office cleaning - daily and general; office supplies - water, food, stationary, furniture, equipment; cleaning liquids and materials, other necessary items for office activity). - Control over workability of equipment, normal condition of the furniture, normal condition of office carpeting, walls, windows, blinders. - On necessity work over the plan on current office renovation/refreshment, installation of necessary equipment for better air, humidity and light supply. - Control over proper visitor and guest reception (passes, meeting room booking, beverage serving, and registration of visitors). - Control over correspondence flow (courier services, registration of incoming/outgoing correspondence, tracing market situation and getting price offers; ensure timely receiving and registration of mail received via Russian State Post). - Ensure services on business trip Arrangement. Timely provision of all necessary information on travelling. Monotoring travel market in terms of prices and services. - Conclusion of all necessary contracts on office activity arrangement. - Constant tracing of office situation, questioning of employees on the services and wishes for improvement. 2. Car Leasing: - Monitoring of the leasing market. - Control over drivers and cars. Instructions to drivers on car maintenance, behavior and company policy. - Mileage, parking and gasoline control. 3. Management and visitors' support: - Support of Japanese employees in personal issues; (apartments, cars, cargoes, correspondence etc.); - Support of visitors in terms of hotel booking, invitations, visas etc. - Keeping up-to-date hotel contracts and rates data base. 4. Company events: Arrangement of company events: Birthday of the company, New Year Party, Birthdays of employees and other parties on necessity. 5. Company gifts to Partners: Arrangement gifts on National holidays (in accordance with company policy and budget). Trace the gift market for better solutions in order to satisfy the company partners. 6. Internal control: - Keep updated instructions on office procedures in accordance with office operation and company rules. - Keep updated the department regulations and rules and create new on necessity. - Forming and control the budget of the department. Try to find solutions on decreasing the expenses. - Monthly reconciliation of the budget expenses with Finance department. 7. Labor, fire, electricity safety (outsourced service): - Follow the company plan on labor, fire and electricity safety in accordance with the Russian Law. - Arrangement trainings on new-comers in accordance with the law requirements. - Arrangement necessary trainings on labor, fire, electricity safety for all company employees in accordance with the law. - Arrangement evaluation of working places. - Arrangement the official study on labor safety for all Managers in accordance with the changed law. - Constant reports to the Management on accomplished procedures and new laws. 8.     In reality I am fulfilling the responsibilities of Administrative Director and Head of HR department. All administrative and HR functions, including migration issues of foreign employees. - Control over and maintenance of office operation (office rent, insurance, monitoring of real estate market, office construction - tenders for architectural and construction companies, car leasing - tenders among leasing providers, purchase and maintenance of office equipment, creation of IT infrastructure - servers, telephones, mobile connection, licensed software; purchase of furniture, stationery, business trips etc.); arrangement of all necessary activity for medical examination of employees, voluntary medical insurance; - HR: all HR document turnover, recruitment, migration accounting, working time record; - Contracts and agreements: hotels, leasing, office rent, construction companies, recruitment agencies, travel agencies, IT services providers, legal firms, translation companies etc. - Creation of Internal regulations (local normative acts): Internal Labor Rules, Regulations on Labor remuneration, education of staff, protection of personal data, commercial information, on personnel, on recruitment, HR documentation in the comapny etc.; - Labor protection: evaluation of working places, education of Heads of Departments on labor protection, fire and electricity security, all regulations and instructions (search and contracting with companies, who provide services on labor protection); - Management of subordinates (8 persons). All necessary measures on Labor security and protection are accomplished. Migration accounting is organized without mistales at all. On evaluation of Top Management: all administrative and HR job is smooth because of correct distribution of responsibilities among subordinates.
