Organisation and control of cleaning
Organisation of inventory, archiving company and customers’ documents, re-freshing offices
Assisting with technical support
Scheduling appointments and events and control of prepared meeting rooms (setting up chairs, getting refreshments etc)
Control of collecting and inputting company, customer and vendor data (update data base)
Problem Solving and Multi-tasking
Building relationships with clients and educating them about what services are available and how to purchase them
Preparation of service agreements/additional agreements and subleases/additional agreements (signing, tracking, registration, archiving)
Monitoring and sending invoices to clients; reminder
Сontrol and organizing the couriers’ work
Distribution and control of tasks to be implemented by by the administrative Department– individually and in their entirety
Daily communication with the Sublessees, providers, employees and prompt follow-up of customer requests
Organizing meetings and events
Partially practical experience in working with migration and visa issues (work permit, IRS, quotas, notifications, visas, invitations, accreditations, registration of a foreign citizen, etc., working with state authorities)
Drafting, processing and negotiation of standard and customized agreements in Russian
Preparation of various powers of attorney and forms to ensure the economic activities of client companies
Organizing and executing day-to-day tasks
Preparation and submission of monthly reports on services provided to clients;
Participating in office meetings
Giving feedback on office efficiency and suggesting possible improvements
Being ready for any other administrative tasks that are required
Sublease of offices
Administrative support to the company staff
Participation in the improvement of administrative processes and templates
