Investment Banking Department Assistant and PA to 2 IB Managing Directors
1. Assistance to IB department
a) Administrative support:
- typing and editing documents;
- answering phone calls;
- filing, maintaining department database;
- archiving documents;
- arranging & coordinating meetings and help in organizing the working schedule of colleagues.
- coordination of tasks & gather information;
- performing bookkeeping responsibilities: pay invoices, reconcile accounts and other bookkeeping related duties;
- communicating and handling incoming and outgoing telephone and outgoing mail as necessary;
- reviewing and summarizing miscellaneous reports and documents; prepare background documents
b) Travel arrangements:
- liaising with travel agents;
- arrangements of preferred routs;
- hotel booking;
- providing visa assistance (collecting the required documentation to the Visa Officer) for the companyí s staff, visitors
2. Assistance to 2 IB Managing Directors (English speakers)
- providing administrative support (managing daily schedules, screening phone calls, arranging phone conferences, reimbursement reports, booking the participation in seminars and conferences)
- handling of all travel arrangements both internationally and domestic
- helping to arrange client visits (arranging transfers, hotel reservation, schedules for the trips, meetings, etc.)
- support internal administration including preparing internal presentations, sending documents to clients, maintaining proper documentation storage, working with internal company systems, assistance in preparing internal financial documentation, assistance in documentation packagesí collection for external and internal reviews
- preparation of timesheets and expense reports
- various administrative tasks including telephone interaction with clients, scheduling of appointments, meetings and conference calls.
