Providing full scope of administrative support
Manage support functions, including reception (2 secretaries), travel implant (3 agents).
Manage business travel policy & procedures
Facilities management, maintenance, repair, cleaning
Manage and planning budget and control costs for all the above
Expats support (visas, registration, moving, apartments etc)
Contracts:
1. Travel, accommodation, taxi service
• Set up 12 local contracts with hotels in Moscow and St.Peterburg
• Negotiate on special rates, nights quantity, duration of payments, credit line.
• Administer and control the quality of travel provider (KPI’s)
• Set up travel implant (3 agents), write the scope of responsibilities, work schedule, signed an additional agreement on above
• Initiate and renew travel policy and procedures
• Divided travel and taxi service between Travel desk and Reception
• Create and update Travel Request and Taxi request forms
• Participate in Global Taxi Tender, provide a Global Contract department with statistic, prediction of staff growth, visited sites as a member of Tender committee
• Participate in Global Tender on Travelling
2. Office service
- Initiate Plants Tender
- Meet with potential providers
Prepare a Summary table with all information (price, service, references)
- Initiate Reception-outsourcing Tender (meet with agencies who provide this service; provide the chosen companies with questionnaire, KPI’s, etc)
- Work in cooperation with HR dept to understand better the difference of payroll employee and outsourcing (including the cost, motivation etc)
- Courier Service tender
Negotiate with potential providers (9 companies).Prepare pre-tender documentation

Supplying contracts negotiating, signing and control; management of the whole purchasing process
