Responsibilities included, but are not limited to:
Office Administrator/Personal Assistant to the Head of the Office Moscow
The basic duties according to the company requirements are as follows:
Business and commercial activities support
- Direct support to and cooperation with the Head of Moscow Office
- Assistance in organising exhibitions, conferences and meetings with clients/partners
- Handling of correspondence and phone calls and general internet screening
- Organisation of the courier services (DHL, Pony Express etc.)
- Occasional assistance with translations or interpreting
- Dealing with the customer representatives during the execution of the visa applications
- Assistance in planning and organisation of the business trips
Office administration of the secretariat of the Representative Office
Processing of the invoices for the office operation and invoice payment (payments only, not book keeping, which is outsourced), sending copies of the paid invoices general office of Company
Orders for office materials, consumer goods, organising repairs of office equipment
Document management (e.g. company registration/accreditation with the Russian authorities, document archiving, contacts with the Russian Tax Office, Company Register)
Records of the employee holidays
Contact with the Russian Chamber of Commerce and Industry – application for visa invitations for the indian colleagues
Preparation of the invitation letters and visa support documents
Cooperation with the Russian service providers
Other general assistance to Head of Representative Office and to team as required.
