Key responsibilities:
- Performing duties of a PA to the company Heads – Director General, Deputy Director General, HR Director: providing administrative and travel-support, maintaining personal and business correspondence, scheduling working day of the company Heads, organization of business meetings on a top-management level, translation of business correspondence and official documents, performing personal tasks.
- Business assistance to the Business expansion and Marketing Department: assistance in the international forums and conferences participation, publication of advertising materials in specialized magazines and web sites, including contracts negotiation, translation of specific texts, designing of stands, articles and other advertising materials, maintaining financial documents on the above mentioned marketing activities.
- Providing travel support to the company employees: assistance in getting foreign passports, visa support, issuing tickets, organizing transfer.
- Preparing business trips documentation for the Financial and HR departments: making orders in 1C, business trips notifications. Preparing detailed business trips reports for the HR. Providing detailed reports on travel expenses to the Financial department.
- Administrative assistance to the HR: collection of the employees personal information, maintaining employees databases in 1C, making vacation schedules in 1C, preparing official documents, including business letters, requests, inquiries, acts, orders. Organizing corporate events.
- Translation of specialized technical texts. Translation of business correspondence with the key clients, technical documentation, agreements.
- Work with subcontractors: maintaining subcontractor databases, providing subcontractors with the necessary equipment, organizing network access, ID numbers, e-mail accounts. Sending requests to the relevant departments, making sure that the requests are completed in a timely manner.
- Hotel contracts: signing contracts with the hotels to provide accommodation for foreign clients and partners. Negotiating contract terms and prices with the hotel managers.
- Office administration: ordering of office supplies and stationary. Making all necessary arrangements for new employees. Maintaining contacts with the managing company.
