Key responsibilities:
As a personal assistant:
- full administrative support to the CEO;
- coordination of activities (schedule handling and tracking, meetings arranging; assisting in daily tasks);
- management of calls and their follow-up;
- incoming/outcoming documentation control and filing;
- document flow coordination;
- business correspondence (e-mail, faxes, courier shippings);
- handling diverse internal/external inquiries (via phone or email) and direct to appropriate people;
- working at the reception (meeting clients, company managers and other company personnel);
- preparation of meetings' minutes;
- maintaining the CEO orders and instructions;
- business travel arrangements (both in Russia and abroad): tickets and hotel booking, transfer, visa support, expenditure accounts for the accounting department;
- providing travel support for foreign partners (hotel booking; visa support; transfers; meals).
- finding, collecting and processing the necessary information at the CEO request.
Administrative functions:
- organizing coordination between the company’s devisions and departments;
- control of the due execution of the CEO orders and instructions;
- setting up meetings, conferences, negotiations and other activities;
- coordination of the work of the secretaries;
- assisting in HR management: searching for candidates, conducting preliminary interviews;
Interpreter’s functions:
- business correspondence in English;
- contacting foreign companies and organizations on mutual cooperation (Japan, China, Finland, Bahrain, Austria, Italy, USA); working with the companies Baker Hughes, Zeman.
- consecutive interpreting at negotiations (Eng>Ru, Ru>Eng);
- preparing documents in two languages (English and Russian): memorandums, minutes, international contracts on the supply of equipment, cooperation agreements;
- translating business plans, financial documents, tender documentation;
- preparing documents in two languages for the international certification API;
- working out the English version of the company’s site.
Lawyer’s functions:
- collecting and analyzing legal information at the CEO request;
- drafting and legal expertise of the civil contracts (sale contracts, rental and lease contracts, contracting agreements, provision of services contracts);
- drafting labour contracts;
- searching the necessary information in the field of international law;
- drafting legal documents in two languages (warranties, contracts);
- cooperation with the governmental authorities (Passports and Visas Services, Foreign Ambassies, Migration Service, the Federal Service of Court Bailiffs).
